Axon Evidence.com discovery portal to Clio before the link expires
Prosecutor's offices around the country deliver criminal discovery through Axon's Evidence.com — bodycam footage, dashcam video, interview recordings, reports, and photos, shared as download links that expire on the agency's clock. Send to Case gets the documents and files you download into the right Clio matter the moment you receive them, so the case file is complete while the link still works.
The Evidence.com-to-matter problem
An email from Axon arrives with your client's discovery. The clock on the link is already running.
The discovery email gets opened, skimmed, and starred for later:
With Send to Case, the day the email arrives:
Email links and the disclosure portal — same discipline
Agencies share Evidence.com discovery two ways. Both are temporary; your matter file is permanent.
Emailed download links
The most common path for private counsel: an email from Axon with download links for the case's shared evidence. The expiration is set by the sharing agency — published county instructions range from 30 to 120 days — and is stated in the email itself.
- ✓ Check spam and whitelist Axon's sender — missed emails are missed discovery
- ✓ Large shares download as zips; a wired connection helps on big video sets
- ✓ The stated expiration is the deadline; file before it
The disclosure portal
Some jurisdictions assign cases through Axon Justice's disclosure portal: a read-only cloud workspace where counsel sees only their assigned cases and can view or download the evidence. Axon documents portal evidence as accessible for 90 days from the last share.
- ✓ Viewing in the portal is not possession — download what you're entitled to
- ✓ Access follows the agency's sharing, not your case calendar
- ✓ Same end state: the production, filed in the Clio matter
Send to Case works at the browser level with downloadable file links, so the same workflow covers both surfaces — and the court portals, records sites, and Gmail attachments the rest of a defense practice runs on. It doesn't need a special Evidence.com integration, and it never has access to the prosecution's systems: it files what you are already authorized to download.
Built for the hundred-file production
A single case's discovery can be dozens of clips, a folder of reports, and a few hundred photos. Filing that one upload at a time is how productions end up half-filed. Send to Case's batch tools are built for exactly this shape of work.
- ✓ Batch scan finds the file links on a share page so you can select and upload in one pass
- ✓ Zip uploads extract automatically — the bundled download becomes organized matter files
- ✓ Everything in a batch lands in the same matter and folder you choose once
An honest note on video
Clio accepts uploads up to 5 GB per file, which covers most individual bodycam and interview clips. Marathon continuous recordings can exceed it — for those, keep the original in your evidence archive and file a manifest in the matter noting what exists and where.
Many defense firms deliberately split the production: documents, photos, and the case-critical clips go into the Clio matter; the complete raw video set lives in a dedicated archive. The matter stays navigable, the production stays complete, and the manifest ties the two together.
Whatever the split, the rule holds: discovery you haven't downloaded isn't discovery you have.
Built for security-conscious firms
Your client data deserves protection. Here's how we keep it safe.
Direct upload
Files travel straight from your browser to Clio. They never touch our servers.
Official OAuth
We use Clio's official authentication. Your password is never visible to us.
Local storage
Your matter list stays in your browser. A few settings sync through your browser account, never to our servers.
Privacy first
File names are replaced with codes in error reports, and your files never reach us.
Every evidence type, one matter file
Discovery shared through Axon Evidence.com spans formats and sizes. The constant: it all needs to land in the defendant's matter.
Video evidence
Bodycam and dashcam footage, interview-room recordings, surveillance pulls — often the bulk of the gigabytes. Downloads frequently arrive bundled as large zips.
Documents & reports
Incident reports, CAD logs, witness statements, lab results, charging documents — the paper side of the production, usually PDFs.
Photos & audio
Scene photos, booking photos, 911 audio, jail calls. High file counts that make one-at-a-time filing painful.

How long do Axon Evidence.com download links last?
+It's set by the sharing agency, and it varies widely by jurisdiction — published windows commonly fall somewhere between about 30 and 120 days, but the only number that matters is the expiration date stated in the email from Axon. Treat that date as a hard deadline — after it passes, you're emailing the prosecutor's office to ask for a re-share.
Does Send to Case work with Evidence.com download links?
+Send to Case works with downloadable file links in your browser, including the download links Evidence.com produces. As with any portal, surfaces vary by agency configuration — install it free and test against a real share to confirm your jurisdiction's setup before relying on it for a deadline.
Can I upload bodycam video files to Clio?
+Yes — Clio accepts video files, with a 5 GB per-file upload limit per Clio's documentation. Most individual bodycam clips fit comfortably; very long continuous recordings can exceed it. For oversized files, keep the original in your evidence archive and file a note in the matter recording where the original lives, or split the export on the Axon side if the agency's share allows it.
What about discovery shared through the Axon disclosure portal instead of links?
+Some agencies assign cases through Axon Justice's disclosure portal — a read-only cloud workspace where defense counsel views and downloads assigned evidence (access is time-limited — Axon has documented a window of around 90 days from the last share; confirm the current terms for your share). The workflow is the same shape: download what you're entitled to while access is live, and file it into the Clio matter. The portal is the delivery surface; your matter file is the record.
Should the whole video archive live in Clio?
+Many defense firms file the documents, photos, and key clips into the Clio matter and keep the complete raw video set in a dedicated evidence archive (local or cloud), with a manifest in the matter noting what was received, when, and where the full set lives. That keeps the matter navigable while preserving the complete production. What matters is that the manifest and the documents are in the matter — not that every gigabyte is.
Why not just rely on the link or the portal as storage?
+Because both expire — links on the date in the email, portal access per the agency's sharing. Discovery you haven't downloaded isn't discovery you have. Filing on first access is also when the production is freshest: you know what case it belongs to, what the cover email said, and what was supposed to be included. Re-constructing that three months later from a dead link is the bad version of this workflow.
Does uploading evidence to a Clio matter preserve chain of custody?
+Treat the Clio copy as a working copy, not the custody-tracked original. Axon Evidence maintains the evidentiary audit trail and integrity hashes for the source files; downloading a copy and uploading it to Clio doesn't carry that chain-of-custody record across. Clio does log document activity in its own audit history, but that isn't a substitute for Axon's evidentiary custody record. Keep the original in Axon (or your evidence-management system) as the system of record for custody and authenticity, and use the Clio matter copy to work the case — reviewing, annotating, and sharing with co-counsel. If you may need to establish provenance later, note the Axon source and export details alongside the file.
