LEAP to Clio: how to switch without losing your documents
Clio's migration service — complimentary for many common systems — will move your contacts, matters, unbilled time and expense entries, and outstanding and trust balances out of LEAP. Your matter documents are the part that needs a plan of your own — and with LEAP, the timing matters more than most systems, because your clean exit window is while the subscription is still active. Here's the honest playbook.
A LEAP-to-Clio switch is really two migrations
Structured data is a guided handoff. Documents are a separate project with a deadline you control — until you cancel.
LEAP is a serious product with a real US footprint — firms leave it for fit reasons, not because it's broken: a preference for a fully browser-based system, Clio's app ecosystem, or consolidation onto what the rest of the firm already knows. Treat the move as a planned upgrade and it goes smoothly.
The first migration is structured data: contacts, matters, unbilled time and expense entries, and outstanding and trust balances as summative line items. Clio's migration service — complimentary for many common systems, though the cost can vary for more complex migrations — handles the LEAP path and will tell you in the scoping call exactly which LEAP exports they need.
The second migration is documents. LEAP matters accumulate years of correspondence, generated forms, and filed documents, stored as files that LEAP references per matter. Getting them out is absolutely doable — but the tooling is matter-oriented, whole-firm bulk exports are something you arrange rather than click, and LEAP's published transition FAQs give you a limited post-termination window. The sequencing rule that protects you: documents out first, verify completeness, then cancel.
For the system-agnostic playbook, see the general guide to migrating to Clio. The rest of this page is the LEAP-specific part.
What Clio's migration team handles
An honest scope list for a LEAP-to-Clio handoff.
- ✓ Contacts
- ✓ Matters (case shells with metadata)
- ✓ Unbilled time entries (up to five years from the desktop app; a year at a time from the web app)
- ✓ Unbilled expense entries via the Aged Expenses report
- ✓ Outstanding and trust balances (single summative line items at time of export)
- ✓ Guided scoping with a Migration Specialist
Per Clio's data-migration page, migration is complimentary for many common systems, though the cost can vary for more complex migrations. The exact scope varies — confirm with your onboarding rep.
Documents. Documents can be migrated — per Clio's overview, subject to scoping and additional fees based on volume — and it depends on you getting the documents out of LEAP first. The export side is yours (or your migrator's) to run while LEAP access is live.
Billed history & trust detail. Clio's overview lists accounting and financial history — invoices, billed time entries, trust transactions — as data that cannot be migrated. Balances arrive as single summative line items; the transaction detail stays in your LEAP archive for reference. Walk the specifics through with your rep.
Three realistic document paths in the next section.
Three realistic paths for your documents
Pick by matter count, document volume, and how much of the work you want to own.
Third-party paid migrator
Specialists like Universal Migrator support both LEAP Desktop and LEAP 365 as sources and write documents into Clio with structure preserved.
BEST FOR
- • Large document libraries
- • Firms that want the export and import handled end-to-end
- • Tight cutover timelines
License + consultant fees scaled by volume.
Bulk export arranged with LEAP
LEAP can export matter correspondence and documents on request — scope, format, and any cost vary, so get specifics in writing while your subscription is active.
BEST FOR
- • Whole-firm exits
- • Firms that want LEAP to do the export side
- • Archival completeness
End state: matter folders on storage you control, ready to upload to Clio.
Per-matter export + bulk-upload tool
Use LEAP's matter-level document export to pull folders matter by matter, then bulk-upload each folder to its Clio matter with a tool like Send to Case.
BEST FOR
- • Small to mid matter counts
- • Active matters first, archive later
- • No per-GB migration fees
You do the work — but every step is under your control.
The six-step playbook
In order — with the document exit deliberately ahead of any cancellation.
Book Clio's free migration consultation
Schedule it as soon as the decision is made. The Migration Specialist scopes the structured-data import and tells you which LEAP exports they need.
Plan the document exit while LEAP is active
Choose path A, B, or C above and start it now. The post-termination extraction window in LEAP's transition FAQs is a safety net, not a schedule.
Run LEAP's structured exports
Unbilled time (up to five years from the desktop app; a year at a time from the web app), unbilled expenses via the Aged Expenses report, A/R via the accounts receivable and aged debtors reports — per Clio's LEAP export documentation, plus whatever your rep requests. Clio's guide notes a fee may apply to your data export.
Get documents out and verify completeness
End state: a folder per matter on storage you control. Spot-check high-stakes matters against LEAP before trusting the export — count files, open a few.
Clio's team imports structured data
Review imported contacts and matters before declaring cutover. New work starts in Clio; LEAP goes read-only.
Upload documents to the corresponding Clio matters
Folder by folder via your chosen path. Clio Drive's desktop app (Windows or Mac) is a native free option here too — its bulk file upload feature moves large quantities of documents in the background through a Pending Upload Queue, though Clio cautions that moving large amounts of files in bulk may cause the system to freeze, so move files in smaller chunks. If uploads fail, the guide to troubleshooting Clio uploads covers the common causes. Cancel LEAP only after this step.
Gotchas and common pitfalls
The things that bite LEAP switchers specifically.
Cancelling before the documents are out. The expensive mistake. LEAP's transition FAQs describe a limited post-termination window for data extraction; relying on it converts a calm export project into a deadline scramble. Sequence: export, verify, then cancel.
Matter-by-matter export tooling. LEAP's document export works at the matter level, which is fine at 40 matters and painful at 400. If your matter count is large, price path A or B before committing to the DIY route — the math changes fast.
Generated documents and correspondence. LEAP's automated forms and letters are real matter records. Make sure your export path captures the generated output (the PDFs and Word files), not just uploaded attachments — verify on a sample matter early.
Time-entry export granularity. Unbilled time comes out of the LEAP desktop app capped at five years back, and out of the web app a year at a time, per Clio's LEAP export documentation. If your firm bills against older WIP, raise it in the scoping call rather than discovering the cap at import time.
Trust and billed history expectations. Clio's data migration overview is explicit: accounting and financial history — trust transactions, invoices, billed time entries — cannot be migrated, and outstanding and trust balances arrive as single summative line items. Reconcile trust against the bank before cutover so whatever arrives in Clio starts from a verified number.
How Send to Case fits
Send to Case is a free Chrome extension that uploads files from your browser into a Clio matter. It is not a migration service — it doesn't export anything from LEAP and doesn't move matters, contacts, or billing data. Its role starts after your documents are out: once each matter's files sit in a folder on your machine, Send to Case bulk-uploads that folder (or a zip of it) to the right Clio matter in one pass, or captures files straight from the browser without downloading them first.
That's the only part it plays in a LEAP switch — closing the document gap on path C. Learn more about the extension or see how bulk upload works.

Does Clio migrate LEAP data for free?
+Clio offers a complimentary data migration service for many common systems, and its migration guides cover LEAP — though Clio notes the cost can vary for more complex migrations. For LEAP specifically, Clio's guide lists contacts, matters, unbilled time and expense entries, and outstanding and trust balances. Documents can be migrated too, but subject to scoping and additional fees based on volume — the exact scope varies, so confirm exactly what's bundled for your firm with your onboarding rep rather than assuming documents ride along free.
How do I get my documents out of LEAP?
+LEAP stores documents and correspondence as files referenced by matter, and its export tooling works matter-by-matter — LEAP's own help documentation covers exporting a matter's documents. For a whole-firm exit you have three realistic paths: per-matter export (workable for small matter counts), a bulk export arranged with LEAP support (scope and cost vary — get it in writing), or a third-party migrator like Universal Migrator that reads LEAP and writes to Clio directly.
How long do I have to get data out after cancelling LEAP?
+LEAP's published transition FAQs have described a limited window after termination to extract your data — commonly cited as around 30 days, but confirm the current period in LEAP's own transition terms before relying on it. Either way, don't architect your migration around that window: do the document export while your subscription is fully active, verify it's complete, and only then give notice. The post-termination window is a safety net, not a plan.
What LEAP data can Clio's importer actually use?
+Clio's support documentation on exporting from LEAP covers unbilled time entries (up to five years from the desktop app, or one year at a time from the web app, as Excel/CSV), unbilled expenses via the Aged Expenses report, and accounts-receivable reports. Contacts and matter metadata come across in the standard migration, and outstanding and trust balances arrive as single summative line items at time of export. Billed invoice history and trust transaction detail don't migrate — Clio's data migration overview lists accounting and financial history as non-migratable — so walk through with your onboarding rep what arrives as balances and what stays in your LEAP archive for reference.
How long does a LEAP to Clio migration take?
+Plan a few weeks for the core data migration — Clio's overview says processing time varies with the size and complexity of your data — and six to twelve weeks end-to-end is realistic once you include pre-export cleanup, the document exit, and post-cutover document upload. The document phase is usually the long pole for LEAP switchers — start it first, not last.
Should I keep LEAP running during the transition?
+Yes — run a short parallel period. Keep LEAP read-only for reference and export verification while new work starts in Clio. Cancel only after you've confirmed the document export is complete and spot-checked that matters in Clio contain what they should. Cancelling first and exporting second is the single most expensive mistake in this migration.
Can I bulk-upload my exported LEAP documents to Clio without a paid migration service?
+Yes. Once your documents are out of LEAP and organized as a folder per matter, you can drag each folder into the matter via Clio's web UI, or use a free Chrome extension like Send to Case to bulk-upload folders and zips to the right matter. For very large libraries, or if you want folder structure and metadata handled end-to-end, a paid migrator is usually worth the quote.
Will my documents keep their original dates and LEAP version history after I move them into Clio?
+A manual upload brings the latest copy of each file into Clio; it doesn't reconstruct LEAP's prior document versions or its document-management metadata, and Clio's document date reflects when you add the file rather than its original date in LEAP — though properties embedded in the file itself, like author and created date, travel with it. Clio keeps its own version history from that point forward. If original dates or full version history matter for your matters, have a paid migrator handle the documents end-to-end, or keep your LEAP export archived for reference.
